A prestigious University located in Cambridge, MA is seeking a temporary Faculty Assistant to support their immediately.
The candidate will be working under the direction of the University's faculty members and Faculty Support Services. The faculty assistant provides a wide range of highly skilled administrative and course support. The assistant acts as a liaison between faculty members, undergraduates and graduates, external contacts, and various Law School administrative departments.
The main responsibilities include:
Proficiently utilizes a range of advanced technical applications in support of administrative, teaching, and research activities. Anticipates daily needs of faculty members and updates supervisors on status of work; manages and prioritizes multiple time-sensitive requests with recurring tasks and longer-term projects.
Uses Concur and Oracle financial platforms to process payments, invoices, and reimbursements. Reconciles Purchasing Card and/or Corporate Card statements.
Maintains class web sites using Canvas platform; posts course materials, announcements, and manages assignments. Obtains copyright for course materials; organizes and orders printed course packets.
Responds to internal and external requests for information and scheduling. Manages faculty calendars; makes complex domestic and international travel arrangements and itineraries.
Performs general office duties including photocopying, filing, ordering office supplies, placing catering orders, and reserving space for meetings and events.
Processes recommendation letters; proofreads and edits documents. Maintains accurate and organized paper and electronic files and manages confidential material with tact and discretion.
Facilitates updates to faculty webpages; manages aspects of research assistant hiring and supervision; conducts ad hoc internet and library research.
Working hours: M-F, 9-5
Four plus years related experience with proven office administration and customer service skills required. Prior experience overseeing a research or related group and/or working closely with faculty, researchers. Experience managing to a budget, specifically with proposals, monitoring and reporting. Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools. Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy. Ability to work across teams and with a variety of projects and constituencies.
