Are you an experienced administrative assistant? Are you interested in working in the biotech industry?

We are hiring a Sr Administrative Assistant to work with a Biotech/Pharma company in Cambridge, MA

This is a contract to hire opportunity based on performance.

Responsibility:

  • Perform administrative duties and office support activities for a team or department.

  • Coordinate documents and correspondence, including letters, reports, emails, presentations, memos, faxes, etc using appropriate tools for required work including Microsoft Outlook, Word, Excel and PowerPoint to track, document and report data.

  • Review documents and proofreads for grammar and spelling, accuracy, consistency of terms, and completeness; ensures document text and graphics adhere to corporate and organization guidelines and standards.

  • Arrange travel for the team or department; completes expense reports in a timely manner.

  • Collect, review, enter, and format accurate data into spreadsheets, databases, and other electronic tools.

  • Interface and communicate with internal customers; directs people to the appropriate resources.

  • Research solutions and responds to email and phone inquiries with guidance and review from direct supervisor.

  • Participate in maintenance of improvement processes; implements changes to improvement processes for direct responsibilities.

  • Prepare documentation for payment of vendors, consultants, and suppliers; after review by direct supervisor, submits documentation and enters requests for payments into accounting system; responds to inquiries from accounts payable and payees.

  • Develop a network within the department; draws on network to answer questions and successfully execute responsibilities.

  • Demonstrate confidentiality in execution of all responsibilities.

  • Perform other duties as required.

Working hours: 8:30am - 5:30pm

Skills:

EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS:

  • Associates degree preferred. High school diploma/GED required

  • Minimum 5 years of relevant work experience. Strong PC literacy with intermediate skills in Microsoft Outlook, Word, Excel or PowerPoint. Excellent verbal and written communication skills
