ADMINISTRATIVE ASSISTANT II, MIT.nano, to support the managing director, MIT.nano, and the administrative officer. Support for the managing director will include scheduling and calendar management, coordinating travel plans, processing travel reports and reimbursements, perform Support for MIT.nano will include scheduling complex meetings; composing and editing meeting-related presentations (using PowerPoint) and agendas; room reservations; planning and executing events, including catering; the setup and cleanup of rooms; greeting and welcoming attendees; serving as part of a team that coordinates major events; and working on a wide range of MIT.nano programs, projects, and events. Support for the administrative officer will involve handling office administrative and financial duties such as purchasing, creating and updating POs, collecting and organizing receipts, filing procurement paperwork, and assisting with monitoring and reconciling accounts; monitoring inventory and ordering office supplies; assisting with the performance of HR duties; and performing other duties as needed in support of MIT.nano’s mission.

Job Requirements

REQUIRED: a high school diploma or its equivalent; three years’ administrative, office, or related experience; strong interpersonal, verbal and written communication, and teamwork skills; self-motivation; flexibility; meticulous attention to detail; proficiency with Excel, PowerPoint, and Microsoft Office; discretion and good judgement; ability to manage multiple projects simultaneously, take initiative, function effectively under pressure, and work both independently and as part of a team; and discretion with confidential information. Bachelor’s degree; MIT experience; and familiarity with MIT systems (Concur, SAP, and Buy-to-Pay) preferred. Experience in an educational environment a plus. Job #15925-5
