This document details the job functions for the R&D Paralegal Specialist position located in our Waltham, MA facility. The primary focus of this position is establishing and maintaining open lines of communication between the R&D Operations Director and the appropriate law firms contracted to act on behalf of A123’s interests especially in the roles of obtaining and perpetuating intellectual property and supporting international trade. This position reports within the structure of the VP of R&D under the direction of the R&D Operations Director and will be expected to own organization and communication of relevant documents between A123 and contracted law firms.
Job Responsibilities (in order of importance)
Assist in the drafting, review and revision edits, of Invention Disclosure Documents generated by scientists and engineers across A123 locations
Organize and manage communication of documents between A123 authors, R&D Ops Director, and law firms. Documents include, but are not limited to: invention disclosure forms, patent documents, filings and communications requesting action from contracted law firms (example: a request to pay fees)
Invention disclosures are expected to result in several rounds of editing, the person in this position will own follow-up and communication of edit rounds in a timely fashion
Understand, communicate and enforce compliance to A123’s Technology Control Program (also referred to as Export Control) and communicate with our International Trade firm
Creation of new, or updating of existing, IP and Export Control training programs and conduct annual training using these programs
Update and maintain a dash-board of all active IP projects and provide weekly update reports to the R&D Ops Director. Own timely responses to various entities outside A123, especially to prevent expenses incurred by missing key deadlines. Able to work closely with the R&D Ops Director to communicate adherence to budget and specifically delineate expenses.
Be knowledgeable and capable of conducting literature (including prior art) searches, using software like CAS’s SciFinder Scholar, the USPTO website and similar. Support A123 staff in their searching endeavors as they generate Invention Disclosure Documents.
Communicate findings of law firm staff to A123 staff and relay information and decisions between A123 and firm personnel.
Provide support to the R&D Ops Director and R&D Ops Team (including EHS Specialist) on matters of legal import to the site (example: assist with obtaining and maintaining permits)
Perform due diligence
And any additional tasks assigned by the R&D Ops Director
Job Education / Experience Expectations
Exceptional communication and organization skills required – be detail oriented
A high degree of computer literacy including comfort with MS Office, web based searches, and efficient use of MS Outlook to organize and execute a variety of time sensitive responsibilities
Experience writing and editing in technical English is helpful
At least 3 years of experience working within a paralegal role and a college degree, or at least 5 years of experience within a paralegal role
A high degree of emotional maturity and ambiguity tolerance expected – a proven team player
