Position Summary

The Senior Administrative Assistant will provide executive-level administrative support and coordination to the Senior Vice President, Chief Marketing Officer. The position will interact extensively with external stakeholders (vendors, consultants, peer-executives) and internal stakeholders across all levels and BCBSMA locations. The position will serve as the CMO-interface between departments and outside parties, oftentimes working to support critical issues highly sensitive in nature. A high degree of initiative and integrity is required in managing relationships, resolving issues and coordinating a complex individual and department schedule.

Key Responsibilities:

  • Coordinates executive’s calendar, meetings, schedule, travel arrangements, expense reports, and prepares requisite materials

  • Manages the organization, scheduling and overall management of recurring and ad-hoc 1:1, divisional and cross-functional working sessions and meetings, including the preparation and distribution of meeting agenda/materials (print, email, multi-location, video technology as appropriate)

  • Represents BCBSMA and CMO to a wide variety of internal and external constituents via telephone, email and in person

  • Provides a strategic lens to calendar-management by prioritizing requests and providing scheduling options

  • Reviews, screens and remediates (as appropriate) emails and correspondences

  • Establishes, and works within, a strong network of associates and leaders to serve as advocates working towards shared goals

  • Evaluates and refers matters for appropriate handling; coordinates, compiles and documents relevant data and background information to support executive decision making or problem resolution

  • Performs a broad range of administrative coordination and support duties requiring extensive communication within and outside the company

  • Serves as the single point of contact for information and critical to the coordination of meetings, reports and events

  • Organizes, tracks, updates and maintains files, budgets and operational data


  • Highly organized team player with the ability to meet deadlines and manage multiple tasks and multiple stakeholders with a high level of customer service in a fast-paced environment

  • Demonstrated relationship building skills with a wide variety of internal and external constituents

  • Flexibility and willingness to shift priorities

  • Proficiency in Microsoft Office: Outlook, Word, Excel, and PowerPoint

  • Strong verbal/written communication skills and attention to detail

  • Maintains confidentiality of a number of key personnel and business issues

Experience and Education

  • Minimum of 5-7 years of executive level administrative and business experience

  • BS/BA or equivalent experience preferred
