Job Description

DEVELOPMENT ASSISTANT/ADMINISTRATIVE ASSISTANT II, School of Science (SOS), to assist the SOS’s assistant dean of development in all areas of development including donor relations, stewardship, communications, event planning, and independent project management. Will also perform a full-range of administrative duties including calendar management, scheduling meetings, writing, editing, filing, managing databases, proofing correspondence, and making travel arrangements. Responsibilities include managing development and cultivation events, on-campus, locally, and nationally (i.e., developing invitation selection criteria; creating clipboards and FileMaker databases; organizing all logistics; writing, designing, and managing the printing and distribution of invitations and event handouts, etc.); tracking and following annual stewardship reporting for all endowed and expendable funds that need stewarding; managing the monthly gift acknowledgement letters from the dean; working closely with the director of communications to coordinate the production of the twice-yearly Science at MIT newsletter; organizing logistics and materials for dean’s advisory council meetings; assembling development travel books including agenda, research, and detailed transportation logistics for the assistant dean and dean when traveling to meet with donors; processing travel vouchers/requisitions; maintaining resource development files, communication materials, SOS development web pages, and calendars; managing assistant dean’s calendar; assisting with overall office administration; and performing other duties as needed.

Job Requirements

REQUIRED: three years’ related experience; strong interpersonal, oral and written communication, and time management skills; flexibility; ability to manage projects independently, work in a team-oriented environment, and handle frequent interruptions; strong and wide-ranging knowledge of office procedures; and experience with or willingness to learn Microsoft Office (Word, Excel, PowerPoint), FileMaker, Adonis database operations, and Adobe Creative Suite. Familiarity with development and fund-raising operations and/or higher education beneficial. Job #14982-5
