Job Description

ADMINISTRATIVE OFFICER, Electrical Engineering and Computer Science, to direct administrative and financial operations for MIT’s largest department. Will manage a broad range of administrative tasks (salaries, budgets, space, personnel, etc.) and provide effective communication across the department, affiliated research laboratories, and the Institute. Financial responsibilities include advising department head on budgetary/financial issues; developing reports and data for annual budget process; developing strategic financial plans; overseeing general Institute budget, endowed, and other funds; overseeing payroll processes; preparing start-up packages for prospective faculty; managing the faculty summer salary and ensuring compliance with federal regulations; managing department financial commitments to cost shares, student groups, research labs, and other Institute units; and coordinating, overseeing, and executing financial aspects of undergraduate teaching labs, special events, programs, etc. Human resources duties include advising department head on personnel issues; preparing faculty and academic appointments, ensuring compliance with affirmative action policies; managing annual salary review processes for faculty and staff; interviewing, hiring, supervising, and managing staff, including training, mentoring, and career planning; working with education officer on nonfaculty replacement teaching appointments; and managing controlled chair process and execution. Will also perform a variety of other duties, including coordinating space maintenance, refurbishment, and change.

Job Requirements

REQUIRED: bachelor’s degree; minimum of seven years' experience in an administrative, executive, or management position; good judgment and discretion with confidential information; excellent analytical, financial, organizational, and written and oral communication skills; ability to work collaboratively with all levels of personnel and manage changing and conflicting priorities; good supervisory skills; and strong computer skills, including proficiency with Microsoft Office. MIT experience preferred; as is experience with COEUS, SAP, NIMBUS, and Roles Database. Job #15196-Q
