ADMINISTRATIVE ASSISTANT, MEDIATED MATTER, Media Laboratory (ML), to provide varied and complex administrative support for Professor Neri Oxman and the diverse Mediated Matter research group. Responsibilities include managing all financial aspects of group, e.g., requisitions, reimbursements, procurement card, purchasing, vendor management, account management/reconciliation, budgets, reporting, allocation of grants/sponsored research/individual donor funds, etc.; managing professor’s calendar and travel; triaging high volume of complex communications; liaising between students and professor; serving as information source for students regarding group activities, travel, purchasing, etc.; onboarding new group members; building collaborative relationships with colleagues, press, sponsors, collaborators, and visitors; fostering connections/facilitating communications with museum curators, working with museums to generate loan agreements and with researchers in preparation for exhibitions; coordinating meeting and event logistics; project support, including facilitating logistics, developing project timelines, working with PI on hiring and supervising student/temporary workers and contractors and with ML HR on regular staff hiring, and updating group website; and performing other duties as needed.
REQUIRED: high school diploma or equivalent; at least three years’ experience as an administrative assistant for senior managers; excellent verbal and written communication skills; aptitude for handling a wide variety of duties; discretion, diplomacy, and superb judgment with confidential information/issues; meticulous attention to detail and accuracy; ability to work on multiple tasks concurrently, learn quickly, and work with critical time demands in an environment with competing priorities; strong organizational skills; and proficiency with Macintosh computers and Microsoft Office.
