Job Summary The Human Resources Coordinator will provide organizational and administrative support to the Simmons College Human Resources function with a dedicated focus on recruitment operations. This critical role will serve as a liaison with internal colleagues and external partners, on behalf of the Human Resources department, while promoting a culture of inclusion and responsiveness through customer-centric support. Reporting to the Manager of HR Operations, the HR Coordinator requires keen interpersonal skills and exceptional judgment to facilitate collaboration and communication among diverse groups.

Essential Functions Recruiting Operations ? 50% Provide operational and administrative support to members of the HR team to successfully recruit, track and onboard candidates and new employees throughout the full-cycle recruiting process, while delivering a positive candidate and new hire experience; Create and manage job requisitions, coordinate internal and external job postings, schedule candidate interviews and maintain candidate statuses within the applicant tracking system; Generate and distribute offer letters and assist with candidate management and communication from sourcing through onboarding; Responsible for maintaining pipelining databases and for data entry into applicant tracking system and human capital management (HCM) system, including core demographics and pay; Create and manage employee files; Establish and maintain collaborative partnerships with members of key cross-functional areas to actively identify opportunities for operational process improvement and develop and implement more efficient and scalable solutions; Aid in the development of sourcing strategies for open requisitions to assist HR team members and hiring managers; Provide operational and administrative support, conduct research and generate reports for both College and HR initiatives such as Workday Recruiting, E-verify, FLSA compliance, and creation/maintenance of key metrics.

Administrative Operations ? 25% Organize and maintain the workings of the Human Resources department, including but not limited to processing of invoices, expense reports and credit card statements; ordering supplies, record and database maintenance, and coordination of events; Respond to phone, email, and in-person inquiries in a timely and professional manner. Make autonomous, accurate, and swift judgements, including forwarding questions and requests to other senior staff; Operate as a key liaison with other departments to resolve problems /issues proactively; Prepare purchase orders as needed for orders, programs, projects and other departmental commitments; Open, sort, and distribute incoming correspondence, including mail, faxes, and email; May generate, draft and/or proofread emails, letters, reports, or other documents. Work on discrete projects, providing project coordination, documentation, and support and other duties as assigned to support the AVP and the members of the Human Resources team. Coordinate communications from the Human Resources office to internal and external constituents, including senior leadership, which may be confidential in nature.

Calendar & Meeting Coordination ? 25% Coordinate individual calendar for the Assistant Vice Presidents and the Director, using judgment to prioritize and commit leadership?s time for meetings, appointments and travel based on an in-depth understanding of the Human Resources department?s priorities and needs; Schedule meetings and arrange conference calls for the Human Resources department as requested; Coordinate meeting logistics including location reservations, catering and equipment; Prepare meeting materials and presentations for internal and external meetings, which may include generation of spreadsheets and preparing Power Point presentations with close attention to detail, formatting and integrity of content; Draft and distribute meeting agendas and take meeting minutes as requested; Other duties as assigned.

Education Bachelor?s Degree or equivalent work experience required.

Required Technical Skills Advanced proficiency with MS Office (Word, Excel and PowerPoint); Intermediate proficiency with Adobe Suites; Experience with Workday preferred.

Knowledge, Skills & Abilities Minimum 2-3 years of proven experience in a relevant human resources/administrative position with demonstrated experience in project coordination and high-level client contact; Excellent verbal and written communication skills, including editing and proofreading; Exceptional planning and organizational skills; Ability to take initiative and ownership of projects; Demonstrated ability to handle sensitive issues and maintain confidentiality; Proven ability to perform duties with a high level of professionalism, flexibility; discretion, judgment, diplomacy and tact; Ability to multi-task, adapt to changing priorities, and meet deadlines.
